Large companies have a training department for coordinating training activities for employees. Organizations which use an LMS, typically assign an administrator, who coordinates with instructors and learners and is responsible for all functions related to the use of the Learning Management System. So, an administrator must have a complete knowledge of the LMS, its features and functions so that he/she can guide instructors, learners and managers to make optimum utilization of the same.
It is the administrator who needs to create awareness about how the LMS is an invaluable asset to learners for learning purpose, instructors for training purpose, and managers for getting employee progress reports.
Here are some of the typical administrative tasks that ensure the success of any training program.
Course Hosting and Management:
Administrator needs to host courses and organize them for easy identification on the LMS. She/he needs to enroll users, allocate usernames and passwords, and provide them support when courses are accessed. Typical user support includes password management, assistance during login failures or other technical assistance. It is the administrator who helps learners to get started with their training smoothly.
Communicate and Coordinate:
The administrator communicates with instructors and learners regarding course policies and acts as a single point of contact for all LMS related issues in the organization and caters to the needs of learners, instructors and managers. He coordinates with instructors for learner information to ensure that the course hosted on the LMS and enrollment happen on a timely basis. This needs close coordination with the IT department so that any upgrade or maintenance, which could disrupt course access, is effectively communicated to end users.
Planning is a very important responsibility of an administrator. Administrator plans for training events and activities. He/She coordinates with instructors to schedule on-site and virtual classes and other activities including assessments and quizzes that support training. This makes sure that learners go through the courses according to their training schedule.
Administrator monitors all training activities which are uploaded on the LMS. As a part of his responsibility, an administrator has to maintain all training records of employees and generate reports which include statistics of their progress that can be made available for review by the training manager. Not only that, an administrator is supposed to document organizational workflow processes, post discussions and announcements and so on.
In some cases the administrator also develops training prospectus to satisfy training requirements that are related to change in resources or change in business models.
Administrator helps learners and instructors by providing functionality support. Users who are unfamiliar with an LMS need to be informed of how to navigate to the course and how to see the progress report. Administrators also help in resolving IT problems that arise while using an LMS. They are instrumental in ensuring that the LMS look and feel and customization contributes to good training experience for end users.
Administrator manages training activities through creation, management, communication, coordination, planning, maintenance and support of both classroom programs and e-Learning programs that are hosted on the LMS. Therefore, it is extremely important for organizations to have a dedicated administrator who, along with his team, can maintain and get the best out of the LMS investment.
